What should I do if I want to use other software to send and receive school emails or communications?

  • The internal and external mail server of NTOU’s email service is mail.ntou.edu.tw. The port for pop3 mode is 110 or 995, the imap4 port is 143 or 993, and the SMTP port is 25 or 465. Make sure to check the outgoing server's required authentication and use the same settings as the incoming mail server.

How should fresh graduates and alumni apply for the alumni service mailbox? 

I can't log in because of the wrong password using my email?

  • The student account of the email system is the student number. The default password contains the ID card number (but for international students, the passport number or the date of birth using the western calendar ), and the English letters are all capitalized. If you cannot log in, please provide a scanned file of your student ID and other documents and provide the account number and the details of the problem. Send it to staff@mail.ntou.edu.tw, and you can change the password after confirmation. You can also bring the relevant documents to the 4th floor of Machinery Building B and change the password of the Administration System Office. You can also bring your student ID card to the "iLib Unmanned Service Station" on the library's 1st floor to set up by yourself.

If I forgot my password, what should I do?

  • You can go to the homepage of your email (https://mail.ntou.edu.tw) and select the function “forgot the password.” Then, enter the account number and verification information (ID number, etc.). If the system confirms your identity, it automatically sends a reset password link to your second mailbox.
  • If the system information is incomplete (if there is no second mailbox information or verification information), please provide a scanned digital file of your student ID and other documents, explain the account number and the problem, and send it to staff@mail.ntou.edu.tw. You can change the password after confirmation. You can also bring the required documents to the Administration System Office on the 4th floor of Machinery Building B to change the password. Another option is to bring your student ID card to the "iLib Unmanned Service Station" on the library's 1st floor to set the new password by yourself.

How much space does the electronic school mailbox provide?

  • The teaching staff space allocation is 5,120 MB, and registered or current students are located at 500 MB. Once the space is fully utilized, users can no longer receive outgoing communications or emails. The alumni’s allocation is reduced to only 50 MB, so they must transfer the content of their mailbox to other email accounts before graduation and clear or reduce the mailbox content to avoid overflow. Note that deleting an email on the webmail does not entirely remove the email from the mailbox. Instead, it is sent to the trash box, and if not deleted,  they still occupy space in the mailbox. If you use a client-side receiving software such as Outlook Express to receive emails, you will only receive emails in the inbox of the mail system (webmail). Therefore, you will not receive other emails, such as drafts, email backups, deleted emails, letters, etc.

How to save mailbox space on the server?

  • Browser is often used for logging to clean up unnecessary mail backups and "deleted mail" (trash can) or use POP3 receiving programs to remove mail on the server after receiving mail automatically.

What to do when the mailbox is full?

  • After logging in with webmail, delete unnecessary emails and empty the trash box.

Why didn't I receive it when someone sent an email with an attachment?

  • To maintain the system's normal operation, the size of the attachment files sent to the school is limited. If the size exceeds (500M for teachers, 50M for students, and 10M for alumni), the email will be rejected to prevent too many large files from filling up the space. In addition, the mail attachment files sent from outside the school are also the same. Please note the possibility that the email server of the other party may also limit the attachment file size. If the file is too large, sending it through a cloud file link is recommended to ensure that the other party can receive it smoothly.

Why is "***SPAM***" shown as the subject of my email?

  • Computer centers always deal with spam which has always been one of the major problems in providing excellent email services. Unfortunately, it is impossible to filter out 100% of advertising letters with the current email identification technology. Therefore, it is unavoidable that some private letters are accidentally filtered out as spam. Given this, the center will change the original direct deletion of the mail identified as "spam" and only add the text "***SPAM***" at the beginning of the subject of the mail.

Can I apply to change my account name?

  • For the convenience of management, applications from students to change their account names are currently not accepted.

What protocol should I set for my email software’s incoming (POP3) and outgoing (SMTP)?

  • Whether it is a faculty member or a student, the inbound (POP3) and outbound (SMTP) hosts are set to mail.ntou.edu.tw.

After I use Internet Explorer to access webmail, why does the inbox keep showing "Loading" and I can't see its content?

  • To cancel the proxy settings in IE, go to Tools in IE -> Internet Options -> Connections -> Local Area Network Settings -> Proxy Server, uncheck the tick.

Does it matter if my Internet Explorer connection is redirected?

  • This is how the way that the computer center distributes the host’s load.  If a re-direction window appears, just click OK.

When I just logged out of my email, why does an error message occurs when I log in to another account without closing my browser?

  • To log in to a different account, please close all browsers and log in again.

Can I use telnet to communicate  to the mail server?

  • No!! This server only provides sending and receiving functions, and does not provide other connection services.

What should I do if I receive emails with garbled characters?

  • You can try setting the language system of your browser or POP3 receiving program to "Traditional Chinese", but no guarantee that it will work .

How can I forward the school mailbox to a personal mailbox?

  • First, log in to the school's webmail interface (https://mail.ntou.edu.tw). Then, go to Personal Settings in the lower-left corner. Next, go to Login -> Mail Processing -> Auto Forwarding, then enable automatic mail forwarding, and set the forwarding address. Finally, check the keep a copy option to keep a copy on the mail host.
